The services provided by LDK included:
- Overall preparation and coordination of event
- Assistance in booking and purchasing, of travel tickets for 36 sponsored participants
- Assistance in booking accommodation for 400 participants in Brussels during the conference
- Helping participants from Asia to issue their visas
- Assistance with the invitations of both participants and speakers
- Creation of a web site for the registration
- Management and payment of daily allowances to sponsored participants
- Preparation of name badges and conference kits, brochures and prints
- Hiring a team of hostesses for the duration of the conference
- Hiring interpreters for simultaneous interpretation
- Arrangement of local transport · Booking of conference facilities (venue) and of technical equipment
- Organisation of catering inside the conference venue and in restaurants
Description
LDK, as EuropeAid Framework Contractor (LOT 5-Conferences), was selected on a competition basis for the provision of services to the EU for the organisation of a conference (400 participants) in Brussels, Belgium.
The conference's purpose was to help to prepare the 8th ASEM Summit (ASEM8) hosted in Belgium on 4-5th October 2010. The main purpose of this conference will be to facilitate interested non-officials i.e. public policy thinkers, advisers and experts from think tanks, academia, civil society, press and private consultancies to contribute their ideas to the ongoing official ASEM - Asia-Europe Meeting dialogue. ASEM has - since 1996 - been the main region to region dialogue between Asia and Europe providing a format for open and forward-looking discussions.
The purpose of the assignment was to provide logistical support for the organization of the ASEM Public Conference on EU-Asia Inter-Regional Relations.
