LDK was overall responsible for:
- Organisation of travel arrangements (booking, purchasing and delivery of tickets)
- Visas: assistance to passport holders required to issue a visa for entering Ethiopia.
- Distribution of invitations and of basic information (maps, exchange rate, address of the hotel, etc.) to the participants
- Hotel reservations
- Payment of daily allowances
- Production of banners
- Provision of Hostesses and Interpreters
- Local Transport
- Some Catering services were organised. The consultant pre-selected menus and contracted caterers.

LDK, as EuropeAid Framework Contractor (EUROPEAID/127054/C/SER/multi, BENEF 2009 LOT 5: CONFERENCES), was selected on a competition basis for the provision of logistical support to the European Commission in order to organize and finance the 2nd Africa-EU Energy Partnership High Level Meeting
The Africa-EU Energy Partnership (AEEP) is the established channel for political and stakeholder dialogue in the field of energy between both continents. As a result of the 2007 Lisbon Summit, the AEEP has significantly accelerated political dialogue and policy cooperation on energy between Africa and the EU. In the aforementioned contexts, it is of strategic interest to both the AUC and the EU to join forces, especially to further improve energy access and energy security on the two continents. The first AEEP High-level Meeting in 2010 established the AEEP 2020 Targets in the Vienna Declaration, and launched the Africa-EU Renewable Energy Cooperation Programme (RECP). As an agenda setting platform, the AEEP has significantly contributed to international initiatives and actions, including SE4ALL.
The main objective of the Framework Contractor was to ensure the successful organisation of the 2nd AEEP High Level Meeting, this time in Ethiopia. This event was the perfect opportunity for taking the inter-continental energy affairs to the next level, for discussing and ensuring visibility for the contributions and efforts of both Africa and Europe, and for mapping out the future of African and European relations in the energy sector. More specifically the goals of LDK were to assist in the logistical arrangements for the event. This was achieved through the organisation of logistical and administrative arrangements for the event as well as the successful distribution of the conference material to all sponsored and non-sponsored participants.
The conference was handled in the most efficient way, ensuring the best value for money in terms of the services provided. The proper organisation and implementation of the event was the result of the close cooperation of the Framework Contractor representatives with the EU Delegation in AU and the representatives from EUEI and GIZ who co-organised the event.
The meeting was attended by over 415 African and European political and business leaders, high-level experts and heads of international energy institutions, as well as members of civil society, the private sector and the research community, who gathered to review progress in implementing the AEEP 2020 Targets and discuss how to shape future Africa-EU relations in the energy sector.
